What should be retained from the factory stage
The final approved data sheet, applicable GA/schematic/terminal drawings, nameplate data, routine/FAT reports, package and accessory lists, and manufacturer installation and operation instructions should be identifiable by equipment and revision.
Approved deviations should be tied to the final accepted configuration so the site does not receive a confusing combination of an old report and a revised design.
What belongs in the loading, transport and receiving record
Package-level shipping lists, records for removed accessories, project-required shock or transport evidence, seal or custody records where applicable, arrival photographs, sealing/appearance inspection and abnormal-condition closure build the state chain from factory to site.
If a later dispute occurs, these records help separate a manufacturing condition from transport damage or site handling.
What belongs in installation and handover-test records
Installation records, field modifications, final wiring, protection settings, control/signal tests, handover-test reports and the pre-energization checklist should enter the final package. Any field change should have a corresponding as-built or revision record rather than remaining as a red-line known only to the commissioning team.
Why the initial operating baseline is part of handover
Temperature, load, cooling, oil or DGA data where applicable, alarms and inspection status during initial service create a reference point for later maintenance and diagnosis. Archiving those data at project close is effectively giving the asset a “health snapshot at commissioning.”
More files do not automatically mean better documentation
A useful handover package needs an index, revision control, equipment identity and responsibility. A 200-page combined PDF with unclear revision relationships can be less useful than a smaller set of well-structured records with clear status and missing-item closure.

Is the FAT report the most important handover record?
It is important, but it is not the complete handover. Transport, site installation, site tests and initial operating records determine later traceability as well.
Who should keep the final transformer records after project close?
The project document-management rules should define ownership. The key is that the final owner and O&M team receive a complete, traceable version rather than leaving critical records only in supplier or contractor mailboxes.
Does the handover package need every project email?
Usually no. Archive the formal records that prove technical decisions, approvals, changes, tests and equipment condition.
